Proud Partners ("we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our services, or participate in our VIM (Very Important Mary) membership program.
By using our services, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree with the practices described here, please do not use our services or enroll in our membership program.
2. Information We Collect
We collect the following types of information to provide and improve our services:
2.1 Information You Provide to Us
- Name (first and last) — provided during membership enrollment or account creation.
- Email address — used for membership communications, account management, and optional marketing (with your consent).
- Phone number — used for account verification and optional SMS communications (with your explicit opt-in).
- Birthday month and day (not year) — used to provide birthday perks and celebrations. We intentionally do not collect your birth year to minimize the personal data we hold.
- Membership tier selection — your chosen VIM membership level.
- Payment information — credit card and billing details are collected and processed exclusively by our third-party payment processor. We do not store complete payment card numbers on our servers.
2.2 Information We Collect Automatically
- Check-in history — records of your visits when you check in at our venue using your membership card or digital pass.
- Benefit usage — a record of which membership benefits you have redeemed and when, so we can track your available benefits.
- Device and browser information — when you visit our website, we may automatically collect your IP address, browser type, operating system, referring URLs, and pages visited. This information is used for analytics and to improve our website experience.
3. How We Use Your Information
We use the information we collect for the following purposes:
- Membership management: To create and maintain your VIM membership account, process tier changes, and manage your membership benefits and renewals.
- Communications: To send you important membership-related messages such as enrollment confirmations, benefit updates, renewal reminders, and account notifications. These transactional messages are necessary for your membership and are not marketing.
- Marketing communications: To send you promotional offers, event announcements, and special deals — only if you have explicitly opted in to receive email or SMS marketing. You may opt out at any time.
- Birthday perks: To recognize your birthday month with special offers or celebrations as part of your membership benefits.
- Service improvement: To analyze usage patterns, improve our website and services, and develop new features and offerings.
- Opportunity drawing administration: To manage entries, select winners, and notify participants in our opportunity drawings.

4. SMS/Text Messages
We will only send you SMS or text messages if you have provided your explicit, affirmative opt-in consent. When you opt in to receive text messages from Proud Partners:
- Frequency: You may receive up to four (4) marketing text messages per month, plus any transactional messages related to your membership (such as check-in confirmations or benefit redemption notifications).
- Content: Messages may include special offers, event invitations, membership updates, and other promotional content.
- Opt-out: You may opt out of text messages at any time by replying STOP to any message you receive from us. After opting out, you will receive a one-time confirmation message and no further marketing texts.
- Help: Reply HELP to any message for assistance or contact us at proudpartners@centerlb.org.
- Costs: Message and data rates may apply depending on your mobile carrier plan. We do not charge for sending messages, but your carrier's standard messaging rates apply.
- Consent: Consent to receive text messages is not a condition of purchasing a membership or receiving any other service from us.
5. Email Communications
We will only send you marketing emails if you have provided your explicit opt-in consent. Transactional emails related to your membership (such as enrollment confirmations, renewal notices, and benefit updates) are sent as a necessary part of the membership service and do not require separate marketing consent.
- Opt-out: Every marketing email includes an unsubscribe link at the bottom. Click this link to opt out of future marketing emails. You may also contact us at proudpartners@centerlb.org to request removal from our marketing email list.
- Processing time: Unsubscribe requests are processed within ten (10) business days. You may receive messages already in queue during this period.
- Transactional emails: Opting out of marketing emails will not affect your receipt of essential membership-related transactional messages.
6. Information Sharing
We do not sell, rent, or trade your personal information to third parties. We may share your information only in the following limited circumstances:
- Payment processors: We share necessary billing information with our third-party payment processor to process membership payments and refunds. Our payment processor is contractually bound to use your information only for payment processing and is required to maintain appropriate security measures.
- Email marketing platform: If you have opted in to receive marketing emails, your name and email address are shared with our email marketing service provider to deliver those communications. This provider is contractually prohibited from using your information for any purpose other than sending messages on our behalf.
- SMS messaging platform: If you have opted in to receive text messages, your phone number is shared with our SMS service provider to deliver those communications.
- Legal requirements: We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business transfers: If Proud Partners is involved in a merger, acquisition, or sale of assets, your personal information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.
7. Data Retention
We retain your personal information for as long as your membership is active and for a period of two (2) years after your membership ends or your account becomes inactive. This retention period allows us to fulfill any outstanding obligations, resolve disputes, and comply with legal requirements.
After the retention period, your personal information will be securely deleted or anonymized so that it can no longer be associated with you.
You may request early deletion of your data at any time (see Section 8 below). Certain information may be retained longer if required by law, such as transaction records for tax or accounting purposes.

Engagement Identity & Consent
When you take part in a live experience on this site — checking in, playing a game, voting, or opting into notifications — we may create an anonymous "engagement identity" for you. This happens only after you agree: no engagement identity is ever created without your consent, and no name or email is required to receive one.
Consent is recorded, per purpose
Your agreement is written to an append-only consent ledger stored in this site's own database. Consent is granted per purpose (for example: engagement tracking, push notifications, email or SMS marketing, CRM sync) — you can agree to some and decline others. Each record stores which version of the consent wording you agreed to, so we can always show the exact text that was on screen.
You can revoke at any time
You may withdraw any consent at any time. Revoking a single purpose leaves the others intact; revoking engagement tracking stops new engagement data from being collected immediately. Browsers that send a Global Privacy Control signal are honored automatically.
Export and erasure
You can request a full export of the data tied to your engagement identity, or ask for it to be erased. Erasure removes push subscriptions and personal detail from your activity, and reduces the identity to a non-personal stub. Two things are deliberately kept: the consent ledger records themselves (our proof of lawful processing) and, where you are also a member, your member profile (our own business record). Erasure requests can also be made through this site's standard WordPress privacy tools using your email address.
10. Children's Privacy
Our services, including the VIM membership program, are intended exclusively for individuals who are at least twenty-one (21) years of age. We do not knowingly collect, solicit, or maintain personal information from anyone under the age of 21. If we become aware that we have collected personal information from a person under 21, we will promptly delete that information.
If you are a parent or guardian and believe that your child has provided personal information to us, please contact us at proudpartners@centerlb.org so we can take appropriate action.
11. Security
We take the security of your personal information seriously and implement appropriate technical and organizational measures to protect it, including:
